What to Include on an Invoice: A Practical Checklist
Most invoices need the same core information. Use this checklist before you send one. Every item below has a matching field in the invoice generator.
The checklist
- A clear title. The word "Invoice" so nobody mistakes it for a quote.
- A unique invoice number. See our tips on invoice numbering.
- Dates. The invoice date and the due date, and the supply date if it differs.
- Your details. Business name, address, email, phone and, where it applies, your tax or VAT registration number.
- Your customer's details. Name or company, address, and their tax number if one is required.
- What you are charging for. A description, quantity and unit price for every line.
- Discounts, tax and extra charges. Show the tax rate and the tax amount, and any shipping or other charges.
- The totals. The total due, any advance or payment already received, and the balance due.
- Payment terms and how to pay. For example "Payment due within 14 days" and your bank or payment details.
- A reference. A purchase order or project number if your customer uses one.
Requirements vary by country
Some countries require specific wording, tax numbers, an unbroken numbering sequence, or a particular electronic format. The tool does not check these for you. If you are unsure, ask your accountant or your local tax authority.
Keep copies
Save every invoice you send. Lumara stores invoices in your browser only, so use Export Data on the My Invoices page to keep a backup file somewhere safe.
